TIMMINS, ONTARIO, CANADA LOCKER INFORMATION Volunteering Porcupine Ski Runners was founded and thrives due to the generosity and commitment of its membership.  Children learn by example to which each family is requested to support the club and this program.  Many positions require no formal training or skills while others will require workshop type learning.  Program Coordinator • liaison with the PSR president regarding any issues to be discussed at the board meeting. • ensure Jackrabbit/Bunny program is delivered as laid out by Long Term    Athlete Development model, National Coaching Certification Program, Coaching Association of Canada, Coaching Association of Ontario and Cross Country Canada as well as Porcupine Ski Runners. • arrange for the ordering, receipt and distribution of CCC souvenirs. • group program participants and assign coaches and assistants to various levels. • ensure there are an adequate number of coaches with adequate skills for assigned levels at each session.  Jackrabbit/adult ratio is 1:5. • be familiar with the training each coach has received. • assist with the arranging and rearranging of groups and coaches over the first few sessions. • this task is best suited for a family or two persons due to the time requirement.  Coaching Coordinator • organize all training required for new and returning coaches.  Set-up dates, times, locations, instructors and any equipment required for training session. • liaison with the Program coordinator to ensure PSR is informed when coaches will be training and to reserve required chalet space. • ensure all new coaches take and complete NCCP Introduction to Community Coaching and Community Coaching as required for insurance purposes. • ensure minimum number of coaches have current CPR or basic first aid certification. • ensure a skill enhancement course is made available to all returning coaches. It is preferable that this is done prior to the start of the new season. • ensure all coaches are adequately informed of all upcoming training sessions both locally and provincially. • liaison with the communications coordinator to ensure the PSR website is updated continually with coaching information. • makes arrangements for club coaches when they need to be away to participate in race or workshop.   Participants Coordinator • liaison with program coordinator to ensure an adequate number of participant materials have been ordered and received. • organize, label and file participant achievement booklets and stickers. • provide to coaches’ participant evaluation forms early in the season. • ensure participation forms have been adequately filled out and submitted, 2 weeks prior to the end of the season. • liaison with coaches to track and award achievement badges/stickers to participants. • act as a central contact for coaches seeking to improve lesson plans.   Communications Coordinator collect and solicit items for the website and group email.  This would include things like…….. • solicit electronic pictures or other items for use, ensure only first names if any are used, and that the participant’s parents have signed the release form to use the image. • arrange for posting of newsletter on club web site, informing households by email and making a couple of hard copies for the chalet and bulletin board. • newsletter should be sent out a minimum of 4 times a season.  The first one should be prior to the first JR session, the second should at least be prior to the first Bunnies session, the third should be prior to Family Day and the fourth should be prior to the end of season, which is usually March Break. • maintain the JR/Bunny bulletin board and kilometer board, as well as, the white boards.   Special Events Coordinator • liaison with the program coordinator and the communications coordinator. • organize special events as required for Jackrabbits or volunteers.  This could include the PSR Loppet, end of season party, racing rocks or other fun family event. • arrange for the purchase of food and refreshments as required or in the event of a potluck, function as the central contact person   Equipment Coordinator • review all JR equipment used for both dry-land training and on-snow activities. • arrange for any replacements or repairs of damaged equipment, and for the disposal of unusable equipment. • liaison with the coaching coordinator for the use of any equipment that might be needed during the coaching/training sessions. • liaison with the program coordinator for the procurement of new or additional items as requested by club coaches and volunteers   Nutrition Coordinator • liaison with program coordinator for snack/refreshment reimbursement costs. • ensure parent volunteers’ sign up for a session, to assist with or provide, snacks for the entire group for the duration of the season. • provide healthy suggestions and recipes ideas to parents. • liaison with communications coordinator to have the sign-up list posted on the bulletin board and web site. • have back-up snacks labeled and kept in freezer/cupboard in the event of a last minute cancellation. • notify volunteers and post a list of food allergies in the prep area. impress upon volunteers to leave kitchen clean, if not cleaner that it was found. • complete all necessary government documents relating to food safety.   Group Assistant (no NCCP) • assist the certified coach with controlling and organizing children, with a priority on fun and safe participation by all members in that group. • at no time may an assistant coach teach skills. • assistant coaches, that are adults, can participate in this role for no more than 1 year.  Should they wish to continue in future years, it is expected that NCCP training and certification be pursued prior to the start of the following season. • expect to participate in all or most of the season sessions. • inform the coach of an expected absence and provide an adequate replacement for yourself.   Club Coaches • attend training and meetings as required, optionally attend upgrade clinics. • familiarize yourself with the Bunny/JR/TA programs and your assigned level with specific skill requirements that you will be teaching. • develop lesson plans before each session, preferably submitting some of them to the participant coordinator to be kept on file and shared with others. • liaison with Program coordinator as needed, to keep games and lesson plans fresh and current. • complete and submit participant evaluation forms back to the Participant coordinator, at least 2 weeks prior to the end of the season. communicate with your assistant the general structure and purpose of that day’s lesson. • ensure each child has their group color armband and name tag before leaving the stadium and assign a parent or assistant to retrieve it if necessary. • ensure each child is handed off to a parent/guardian before you leave them at the end of the session. • provide a substitute coach in the event of a known absence or make arrangements to combine with the coach of another
